Agents on r/RealEstateTechnology put it about as plainly as it can be put:

“First responder wins, but agents can’t be at their desk 24/7.”

That is the whole problem in one line. The lead is not lost because your follow-up is bad. It is lost because at 8:52 on a Tuesday night, the first responder was not you, and by Wednesday morning somebody else was.

Here is the part nobody sells you. Every AI agent vendor will show you a demo. Almost none will show you the month. So I am going to walk you through exactly what the first 30 days look like when we set one up, in the order we actually build it, including the boring parts.

Week 1: The response layer

The first thing we turn on is the one that pays for itself fastest.

Everything that lands outside working hours gets answered. Text, WhatsApp, web chat. The agent replies in seconds, asks the qualifying questions you would ask, and books the appointment straight into your calendar. It is not an autoresponder that says “we will get back to you.” It holds the conversation, handles the weird questions, and hands you a booked slot instead of a cold name.

Why this goes first: responding inside five minutes is the single step with the clearest return, and it is also the step that fails hardest when it is left to a busy human. Week 2: The record layer

The second thing we turn on is the one nobody notices.

Every conversation, whether it happened on a call, in a text thread or on WhatsApp, gets written into one running note per client. Questions asked. Answers given. What they said about their timeline. What they said about their budget. What they said they were worried about.

This is the week you stop asking yourself “what did we tell her last time.” It is also the week the long listing appointment quietly gets shorter, because you are not spending the first fifteen minutes rebuilding context in front of the client.

Week 3: The follow-up layer

Now that the agent knows who is waiting and what they wanted, it can re-engage on a cadence: day one, day three, day seven, day fourteen, day thirty.

This is the step that quietly does not happen in most businesses. Reddit has a name for it. Leads pour in all day, and the one step that would keep them alive is left to whoever has time. Nobody has time, so it silently does not get done. That is not a discipline problem, it is a capacity problem, and it is exactly the kind of problem software is supposed to solve.   • We do not rebuild your website in month one. That is a separate job with a separate price, and bolting it onto month one is how projects turn into six month projects.
  • We do not migrate your CRM. If you already have one, the agent works alongside it. If you do not, the Base Agent ships with a working CRM, and we do not charge you extra for it.
  • We do not promise leads. The agent works the people who already found you. It does not conjure strangers. If your problem is that nobody is arriving at all, that is a different problem and I will tell you that before you pay me.
  • We do not hide the limit. The agent only knows what it sees. A conversation that happened in a room with no phone and no notes does not exist to it. Nobody should sell you otherwise.
