But most businesses barely scratch the surface of what WhatsApp can do. Here are seven tips to get more out of it.
1. Switch to WhatsApp Business (It’s Free)
If you’re still using regular WhatsApp for your business, you’re missing out. WhatsApp Business is a free app designed specifically for small businesses. It gives you:
- A business profile with your address, hours, website, and description
- Labels to organize chats (New Customer, Pending Payment, Completed)
- Quick replies for frequently asked questions
- A product catalog so customers can browse without leaving the app
Download it from the App Store or Google Play. Setup takes five minutes.
2. Set Up Your Profile Completely
This sounds obvious, but most businesses skip it. A complete profile builds trust before you even reply.
Make sure you fill in:
- Business name — keep it consistent with your website and Google listing
- Profile photo — your logo, clear and recognizable
- Description — what you do, who you serve, and what makes you different
- Address — link to Google Maps so people can find you
- Business hours — set expectations about when you’ll reply
- Website link — send people to your site for more information
3. Use Quick Replies for Common Questions
You probably answer the same ten questions every day. Quick replies let you save template answers and send them with a shortcut.
Type / in any chat to see your saved replies. Set up templates for:
- Pricing info — “Here’s our current price list…”
- Location and hours — “We’re located at [address], open Monday–Saturday…”
- How to order — “To place an order, just send us…”
- Payment methods — “We accept cash, bank transfer, and card payments…”
To create quick replies: Settings → Business Tools → Quick Replies → Add.
4. Create a Product Catalog
WhatsApp Business lets you build a full product catalog right inside the app. Customers can browse your offerings, see prices, and ask about specific items — all without leaving the conversation.
To set it up:
- Go to Business Tools → Catalog
- Tap Add Product or Service
- Add photos, name, price, and description
- Share catalog links directly in chats
This works especially well for restaurants, retail shops, salons, and service businesses.
5. Use Labels to Stay Organized
As messages pile up, it’s easy to lose track. Labels help you sort conversations so nothing falls through the cracks.
Suggested label system:
- 🟢 New Lead — first contact, needs a response
- 🟡 Quote Sent — waiting for them to decide
- 🔵 Confirmed — order or appointment confirmed
- 🟣 Completed — done, ask for a review
- 🔴 Follow Up — needs a nudge
Long-press any chat to add a label. You can filter by label to see all conversations in a category.
6. Respond Fast (But Set Expectations)
Speed matters. WhatsApp shows when you were “last seen” and tracks response times. Businesses that reply within minutes convert at much higher rates.
That said, you can’t be glued to your phone 24/7. Two solutions:
- Away message — Set an automatic reply for outside business hours: “Thanks for reaching out! We’ll get back to you tomorrow at 9 AM.”
- Greeting message — An automatic welcome when someone messages you for the first time: “Hi! Welcome to [Business Name]. How can we help you today?”
Set both under Settings → Business Tools → Away Message / Greeting Message.
7. Link WhatsApp Everywhere
Don’t make people hunt for your number. Add a WhatsApp link or button to every touchpoint:
